Information for Presenters

Your submission has been accepted, what happens next?
 
Initially your assigned shepherd will introduce themselves and notify you of any feedback given by the Programme Committee.
 
Your shepherd will check in with you regularly between the initial contact and the date your final slides are collected to ensure you have everything you need, and that your final slides fit within the guidelines. You will also be provided with a link to book your free speaker ticket and updated information about your agenda slot. Do reach out to your shepherd at any time if you have any questions.
 
Speakers are required to go through their presentation with one or more of the Programme Committee prior to the event, this can either be via a Zoom call or in person on the morning of day 1. This will allow any last minute changes your content, ensuring your presentation will have greater impact with the NetUK audience. Your shepherd will help to make the arrangements for this.
 
When you arrive at the registration desk on the day of your presentation, our team will be already aware that you are presenting and will ask you to attend the AV desk to discuss microphones, ensure your slides render as expected, and to finalise any additional AV requirements. 
 
All slides will be presented using the AV team's equipment. unless specific requirements mean you need to use your own equipment. If you have a requirement to use your own equipment, this will need to be agreed with your shepherd prior to the event, and tested with the AV team on the day you are presenting.
 
It is recommend that during your visit to the AV desk that you take the time to familiarise yourself with the stage where you'll be presenting along with the provided equipment. A member of the Programme Committee will show you where to stand, how to use the slide clicker and where the cameras for the live stream will be positioned.

Submission Management

To update your slides, log in then go to the Speakers and Presentations contributions list on Indico. Click the talk title against your name, then click on the pencil icon to the right of "Presentation Materials" - you will see a "Manage material" dialogue with an "Upload Files" option. Click this to upload your slides.
 
Your slides will default to public visibility on the meeting site as soon as they are uploaded. If you want the slides kept confidential until you present, please select the Private access option in the upload form. Please also inform your shepherd that you have embargo/confidentiality requirements.
 
Final slides need to be uploaded by 22nd June 2026 - this is to ensure that there is time to share them with the AV team and test any additional requirements you require. Please upload both the original format and as a PDF. If you need help converting the slides into a PDF, this can be done for you - just ask your shepherd.

Speaker Registration and Attendance

Your shepherd will provide a special registration link for you to register your free speaker ticket. Please use the same email address you have registered in Indico to complete the ticket registration. This ensures that the registration will be linked to the presentation slot.
 

Agenda

The meeting agenda will be published in Indico ahead of the event. The agenda may be subject to minor last minute changes, that occur prior to or on the day of the event.
 
Please let your shepherd know ASAP if your proposed agenda slot clashes with any travel arrangements or availability, so timings can be adjusted. Sometimes circumstances beyond our control may require us to change speaking slots on the day. It is recommended that you plan to attend for at least the full day of your presentation - this ensures smooth running of the event. Do communicate if this is a problem, and best efforts will be made to accommodate them.
